POSITION OVERVIEW

Urban Resource Institute (URI), a not-for-profit 501(c) (3) organization established in 1980, operates shelters and provides services for survivors of domestic violence and homeless families. It also runs residential and vocational programs for individuals with developmental disabilities. With a $70-80 million annual budget and with more than 600 staff by the end of the year, URI promotes safety, justice, health, and independence for vulnerable individuals and families residing in New York City.

POSITION REQUIREMENTS & ESSENTIAL RESPONSIBILITIES

  • • Supervise the implementation and management of internal and external work order processes for all assigned facilities, ensuring that processes are followed according to our quality management system and that traceability requirements are met.
  • • Supervision of assigned Facility Directors and outside Contractors who may be performing work at the assigned sites; obtain and submit documentation of completed repairs to Central Office as work is completed by Contractors
  • • Provide and document a minimum of biweekly individual supervision meetings with assigned Facility Directors.
  • • Participate in and/or lead security management and facility management meetings as needed and/or directed.
  • • Collaborate with program leadership and Facility Directors to ensure the completion of weekly unit and common area inspections at each facility.
  • • Conduct weekly inspections of the building grounds to ensure that it maintained in a safe and secure manner and is accessible to residents, staff and visitors alike.
  • • Ensure identification, scheduling and coordination of all building repairs and advise program leadership of any outstanding issues; develop and maintain a preventative maintenance calendar for all sites.
  • • Ensure all repairs and maintenance is performed consistent with URI standards and regulatory guidelines
  • • Provide support and professional development opportunities for all assigned staff through the development, monitoring and maintenance of individualized performance goals and objectives.
  • • Ensure utilization of Building Engines by all sites or other identified software to document maintenance service requests and completed work.
  • • Ensure the completion of Service Requests through assignment by the Facility Director and Maintenance Supervisor.
  • • Ensure timely turnover of vacated residence units within specified timeframes.
  • • Provide regular repair and maintenance updates to Senior Team members and Vice President of Operations as required.
  • • Serve as the primary corporate representative, emergency contact, to oversee the coordination and participation in snow removal.
  • • Adhere to all local building codes as well as state and federal building regulations
  • • Ensure that all building systems are being maintained and the preventative maintenance is being completed on a monthly basis.
  • • Ensure that all Life Safety equipment is being maintained by the appropriate vendors i.e. Fire Alarm, Sprinkler, and Fire Extinguishers.
  • • Other duties as requested based on department, program and/or organizational needs.

  • REQUIRED KNOWLEDGE, SKILL AND EXPERIENCE

  • • Bachelors’ degree preferred. High school or GED equivalent required.
  • • Minimum of three (3) years of Project Management experience with a concentration on managing multiple projects across multiple locations; specifically in projects requiring significant resources, cross-functional involvement with the ability to meet and organize multiple project deadlines in fast paced high energy working environment.
  • • Minimum of four (4) years’ experience in Real Estate/Facilities management
  • • Demonstrated solid ability to understand plans/blueprints and complete details to specs.
  • • Demonstrated ability to interface with contractors in order to drive project schedules and to bring project in on time (within budget)
  • • Availability to be contacted 24-hours per day in emergency situations as well as be responsive to the field staff by communicating in a professional tone for assigned sites.
  • • Strong writing and public speaking skills with an ability to manage and organize multiple projects in a busy, pressured working environment.
  • • Ability to work independently, assess priorities, take initiative, handle multiple assignments, and meet deadlines.
  • • Excellent interpersonal skills with the ability to work well with people of diverse educational, cultural and professional etc. backgrounds.
  • • Must be a responsible individual with a reputable character, known to exercise sound judgment, maintain confidentiality, and cope with stress and crises in a calm manner.
  • • Must be willing to travel between program sites throughout the City.
